Role Overview

Our client is seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support daily office operations in their Green Bay, WI office.

This position will serve as an important point of contact for clients, visitors, and internal staff while providing administrative and operational support to ensure the office runs efficiently.

Key Responsibilities

  • Manage incoming phone calls, messages, and routine correspondence.

  • Coordinate schedules and calendars, including meeting arrangements.

  • Organize and coordinate meetings and appointments.

  • Prepare, format, organize, and maintain documents and records.

  • Maintain filing systems and administrative documentation.

  • Perform accurate data entry and record updates.

  • Assist with reports, presentations, and administrative projects.

  • Support executives with calendar management, meeting coordination, and travel arrangements.

  • Handle confidential and sensitive documents with discretion.

  • Serve as a professional first point of contact for clients, visitors, and team members.

  • Assist with general office administration and day-to-day operational tasks.

  • Manage multiple priorities while maintaining a high level of accuracy, professionalism, and customer service.

Required Qualifications

  • Proven experience in administrative or clerical support.

  • Experience with scheduling, correspondence management, and document organization.

  • Excellent verbal and written communication skills.

  • Strong professional phone etiquette and customer-service orientation.

  • Experience supporting executives, including calendar management, meeting coordination, travel arrangements, and confidential document handling.

  • Proficiency with Microsoft Word, Excel, Outlook, and Teams.

  • Excellent organizational skills and attention to detail.

  • Ability to prioritize tasks, meet deadlines, and manage multiple responsibilities in a fast-paced environment.

  • High level of professionalism, reliability, discretion, and sound judgment.

  • Strong interpersonal and collaboration skills.

  • High school diploma or equivalent required.

Preferred Qualifications

  • Previous experience in financial services, accounting, consulting, or professional services.

  • Additional education or training in business administration or office management.
