Position Summary

Our Client is seeking a Client Experience Coordinator to serve as the welcoming face of the firm and the steady hand that keeps daily office operations running smoothly.

From the moment clients and guests walk through the door, the Client Experience Coordinator will help create a professional, warm, and positive experience. This role combines hospitality, client service, administrative support, and compliance assistance in a fast-paced professional environment where accuracy, organization, and attention to detail are essential.

Key Responsibilities

Client & Office Experience

  • Serve as the welcoming first point of contact for clients, guests, and team members, both in person and through phone and email communications.

  • Greet and assist clients and visitors with warmth, professionalism, and attention to detail.

  • Respond to inquiries promptly and accurately, ensuring requests are appropriately addressed or routed.

  • Maintain a welcoming, professional, and organized office environment that reflects our client's values.

  • Anticipate the needs of clients and advisors and provide proactive support beyond traditional reception responsibilities.

  • Build positive relationships with clients and team members through excellent service and communication.

Administrative & Compliance Support

  • Manage calendars, schedule meetings, and coordinate meeting logistics for advisors and team members.

  • Support day-to-day office operations, including mail, office supplies, vendors, facilities, and other administrative needs.

  • Process client account checks accurately and in accordance with applicable FINRA and SEC requirements.

  • Assist with compliance-related processes, including document management, recordkeeping, and ensuring information is maintained accurately and on time.

  • Handle confidential client and company information with discretion and professionalism.

  • Provide administrative assistance across departments as needed.

  • Ensure administrative activities are performed in accordance with our client's policies and procedures.

Event & Culture Coordination

  • Assist with planning and coordinating client events, appreciation activities, team-building initiatives, and other company events.

  • Coordinate logistics for meetings, conferences, community involvement, and other firm activities.

  • Assist with the onboarding of new employees by preparing workstations, orientation materials, and other necessary resources.

  • Contribute to a positive, collaborative, and engaging workplace culture through proactive participation and support.

  • Provide assistance with occasional evening events as needed.

Team Collaboration & General Support

  • Serve as a resource for client and team requests, appropriately addressing or escalating issues when necessary.

  • Provide administrative and operational support across our client's organization as needed.

  • Assist with special projects and other administrative responsibilities as assigned.

  • Collaborate effectively with advisors, leadership, and team members across the organization.

  • Maintain a professional, dependable, and client-first approach in all interactions.

Qualifications

Education & Experience

  • High school diploma or equivalent required.

  • Associate or bachelor's degree preferred.

  • 2-3 years of experience in administration, reception, client service, office coordination, or a related field required.

  • Previous experience in financial services and/or event coordination is a plus.

  • Experience working in a professional, client-facing environment is highly preferred.

Working Conditions

Schedule:

  • Monday-Thursday: 8:00 a.m.-5:00 p.m.

  • Friday: 8:00 a.m.-3:00 p.m.

  • Occasional evening work may be required for client or company events.

Work Environment:

  • Full-time, in-office position in Franklin, TN.

  • Regular interaction with clients, advisors, leadership, and staff.

  • Professional office environment.

Travel:

  • Occasional travel may be required for company meetings, training, or client visits.

  • Must be able to travel independently when needed, including occasional overnight stays.

Physical Requirements:

  • Ability to sit, stand, and walk throughout the workday.

  • Ability to lift up to 10 pounds.

  • Ability to use standard office equipment.
