Position Summary

The Practice Administrator provides leadership to office staff and oversees day-to-day practice operations while ensuring a positive patient experience. This role manages front-desk operations and serves as the primary point of contact for the practice. The Practice Administrator should also be able to support Front Desk and Medical Assistant duties when needed.

Key Responsibilities

  • Lead and support office staff and maintain a positive work environment.

  • Manage physician schedules, new patient allocations, confirmations, and recalls.

  • Oversee insurance verification, authorizations, eligibility, and patient balances.

  • Ensure smooth daily operations, appropriate staff coverage, inventory management, and new-hire training.

  • Address patient concerns and maintain a clean and welcoming office environment.

  • Perform front-desk duties including patient registration, check-in/check-out, scheduling, phone calls, emails, and EMR documentation.

  • Collect copays and outstanding balances and complete daily close reports.

  • Support Medical Assistant duties including clinical EMR entries, treatment-room preparation, obtaining patient history, assisting with procedures, sterilization, and inventory.

  • Maintain compliance with HIPAA and OSHA requirements.

Requirements

  • HS Diploma/GED equivalent required.

  • 4+ years of medical reception experience preferred.

  • Knowledge of EMR computerized processes and data entry procedures preferred.

  • Ability to multitask and work effectively in a dynamic environment.

  • Excellent time management and ability to prioritize patient care.

  • Friendly, courteous, service-minded, efficient, thorough, and detail-oriented.

  • Strong team player focused on improving patient experience.

Physical Requirements

  • Prolonged periods of sitting or standing at a desk and working on a computer.

  • Must be able to lift up to 15 pounds at times.
